Three access modes: Right content to the right people

Every course can be set to one of three access modes, independently: 

  • Private: Only learners with a personal invitation by email, SMS, or magic link, can access it. Used for customer onboarding, partner certification, and compliance training where completion needs to be tracked per individual. 
  • Protected: Any logged-in user can access it. Used for general product knowledge or resources available to all registered partners.
  • Public: Open to anyone with the link. No login required. Anonymous learners are tracked by fingerprint (GDPR-compliant) but never counted as active users. 

One course can serve multiple audiences by publishing it to different channels with different access settings.

Channels and directories. One course, multiple audiences

Channels are the organisational layer between your courses and your learners. Create a channel per customer account, per partner region, or per product line. Each channel can have its own access settings, its own admin, and its own learner list, while pulling from the same course content. 

A course published to the Nordic partner channel is invisible to the DACH partner channel. A customer onboarding channel for Account A shows nothing to Account B. Your content stays in one place; your audiences stay separate.

Role-based access for admins

A partner manager who should see their own region’s completion data, but not every other region’s, gets a Channel Admin role. A subject matter expert who records content but shouldn’t manage invitations gets a Content Manager role. Six admin roles with distinct permissions:  

  • Account Manager: Super Admin. Can do everything. 
  • Course Assistant: Delegated responsibility for a single course. Ideal for managers who need to add their own team to a course. 
  • Content Manager: Create and publish content. No access to user data. Ideal for external consultants. 
  • Channel Manager: Edit channels and create content and course groups. Ideal for department managers.
  • Course Manager: Create content and course groups. Ideal for training managers or teachers.
  • Program Manager: Limited access role. Can access Users and Reports within a specific Program. No access to Configuration.

Compliance mode: Training that can't be edited after sign-off 

Lock a course once it’s been approved. Compliance mode prevents any edits to the published content, preserving the version that learners completed for audit purposes. Certificate expiry dates and re-certification flows run independently on a locked course. 

Useful for regulated industries, safety training, and any scenario where the training record needs to match exactly what learners saw.
